How do I see my list of PAYE workers?

  1. From the menu bar, click Profiles > Workers.
  2. The list of workers are displayed on the workers screen.
  3. Click on the Search Options to expand the search criteria, select PAYE from the Worker Type field and click search.

How do I add a new PAYE worker?

  1. From the menu bar, click Profiles > Workers.
  2. Click Create in the top right of the screen.
  3. The Edit Worker screen opens.
    1. You will be presented with a blank form with 7 page tabs....
      1. Main
        1. GENERAL
          1. Worker Type.  Select PAYE as the worker type.
          2. Payment Method.  Bacs will be the default entry, please contact your RSM pay and bill executive should you require a different pay method or do not have the worker's bank information.
          3. Payroll.  Select weekly as the payroll type.
          4. Engagement Type.  Due to the worker type this field is irrelevant and therefore you can leave the default value set.
          5. Default currency.  By default only one currency will be set (GBP), if you require additional currencies added to Intime please consult the RSM Technical support team.
          6. Payments on hold.  This should be left unticked, if payments are required to be held please contact your pay and bill executive prior to submitting your payroll.
        2. PERSONAL DETAILS
          1. Enter the relevant information.
            1. Title
            2. First name *Note this must be the full name, please do not use shortened or nick names.
            3. Last name *Note this must be the full name, please do not use shortened or nick names.
            4. Email.  This will be used as part of the payslip portal registration process (please see the Self Service Payslip Portal for further information).
            5. Gender
            6. Date of birth
            7. Date of joining.  This is the date the worker started employment with you.
        3. REFERENCE CODE
          1. External reference.  This is optional.
        4. ADDRESS
          1. Enter the full address for the worker.
      2. Employment Details
        1. TAX & N.I. DETAILS
          1. National insurance number.  This will be used as part of the payslip portal registration process (please see the Self Service Payslip Portal for further information).
          2. NI Table letter.  Note this is not the last letter of the worker's national insurance number, please refer to https://www.gov.uk/national-insurance-rates-letters/category-letters to identify the NI table letter applicable to your worker.
          3. Unique Tax Reference.  This is not applicable for PAYE workers.
          4. Payroll tax code.  This will default to 0T and should not be amended.  RSM will update this in accordance with the starter paperwork / HMRC notifications received.
          5. PAYE VAT Code.  This is not applicable for PAYE workers.
        2. HOLIDAY
          1. InPay Holiday Scheme.  RSM operate a standard accrual scheme for your Agency, you should select the standard scheme from the drop-down list to apply the scheme to that worker.  If you fail to select a scheme RSM will not perform any accrual calculations.  Please refer to Holiday Accrual Calculations for more information.
          2. Standard Accrual Scheme.  When you select a holiday scheme for the worker the default percentage on which the accrual will be displayed will be visible next to the standard accrual rate field.  You can override this and enter a higher value where required (a higher accrual rate may be required when there is a change in AWR status).
        3. PAYSLIPS
          1. Email new payslip notification.  RSM do not email out payslips (please see the Self Service Payslip Portal for further information).  You should still ensure that you tick this option so that your workers will receive a notification when a new payslip is available.
      3. Limited Company
        1. Not required for PAYE workers.
      4. Bank Account
        1. Enter the relevant bank details.
      5. CIS
        1. Not required for PAYE workers.
      6. Advanced
        1. You can enter a worker's "also known as" name here, note that this will not be reflected anywhere else in Intime and is for your information only.
      7. History
        1. The history tab provides an audit trail of any changes made to the worker including the user, date, time and description of the change.

What do I do with a new worker's P45 or starter checklist?

New workers should provide you with either a P45 or starter checklist when they start to work for you.  Without this information workers, will be placed on the higher 0T tax code until we receive notification from HMRC or are in receipt of one of these documents.  Completed forms should be emailed to PayBill.ESL@rsmuk.com.
